MeetMind Privacy Policy

MeetMind is an AI meeting assistant for recording meetings, generating transcripts, summaries, action items, reminders, backups, and meeting bot workflows. This policy explains what information we collect, why we collect it, where meeting content is stored, and how you can control it.
Information We Collect
- Account information such as name, email address, phone number, Google profile image, and authentication identifiers.
- Device and app information such as device ID, install ID, app version, platform, and session status for security, single-device controls, and abuse prevention.
- Usage and wallet information such as recording minutes, bot meeting minutes, wallet balance, minute validity, payment status, trial or promo redemptions, feature events, and support history.
- Payment metadata such as order IDs, payment IDs, amount, pack selected, payment status, and crediting status. We do not store full card, UPI, bank, or wallet credentials.
- Meeting content that you create in the app, including audio recordings, imported audio, transcripts, summaries, action items, notes, and chat messages.
- Google Drive and Google Calendar access tokens when you choose to use backup/restore or calendar task features.
- Support information you choose to send us, such as screenshots, payment proofs, messages, and diagnostic details.
How We Use Information
- To provide live transcription, AI summaries, meeting chat, action items, and meeting bot features.
- To back up and restore your MeetMind data to your own Google Drive app data folder when you enable backup.
- To create Google Calendar events when you choose to add dated tasks to your calendar.
- To enforce free usage limits, paid minute packs, minute validity, single-device usage, fraud prevention, and account security.
- To review missing-credit payment reports and credit minutes when a successful payment was received but minutes were not delivered.
- To send optional daily summary emails and task reminders when enabled.
Where Meeting Content Is Stored
MeetMind is designed so your meeting database, audio files, transcripts, summaries, notes, tasks, and chat history are stored on your device. If you enable backup, MeetMind stores app backup files in your own Google Drive app data folder, controlled by your Google account. MeetMind's backend does not act as permanent storage for your meeting conversation content.
Some features require processing meeting content outside your device. For example, transcription, imported-audio transcription, AI summaries, AI chat, emails, and meeting bots may send relevant audio, transcript text, or meeting metadata to MeetMind servers and service providers only to provide the feature you requested. We do not sell your meeting content.
Third-Party Services
MeetMind uses service providers to operate the app, including Supabase for authentication and backend records, Deepgram for transcription, Anthropic Claude for AI analysis, Meeting BaaS, MeetStream, or Recall for meeting bot participation, Razorpay or Google Play billing for payments where available, Google Sign-In, Google Drive, Google Calendar, and Resend for email.
Google API Data
MeetMind requests Google access only for features you choose to use. Google Drive access is used to store and restore MeetMind backup files in your Google Drive app data folder. Google Calendar access is used to create events for action items you choose to schedule. MeetMind does not sell Google user data and does not use Google user data for advertising.
Backend Records
Our backend stores operational records needed to run the service, such as account status, usage totals, wallet minutes, minute validity, promo-code claims, device sessions, payment metadata, abuse-prevention records, and support history. These records help us protect accounts, provide paid minutes, prevent duplicate trial claims, and resolve payment issues.
Data Sharing
We do not sell your personal data. We share data only with service providers needed to run MeetMind features, process payments, transcribe audio, generate AI outputs, send emails, authenticate users, back up data to your Google Drive, and prevent abuse. We may also disclose information when required by law or to protect users, MeetMind, or the public.
Data Retention And Deletion
You can delete meetings and local data in the app. If backup is enabled, you can remove MeetMind backup files from your Google Drive app data. You can request account deletion or backend data deletion by contacting us. Some payment, tax, security, fraud-prevention, or legal records may be retained where required or permitted by law.
Because MeetMind does not use its backend as permanent storage for your meeting conversation content, we may not be able to recover deleted local meeting content or deleted Google Drive backup files.
Security
MeetMind uses HTTPS/WSS for network communication and keeps provider API keys on the backend. Authentication tokens are stored using secure device storage where supported.
Children
MeetMind is not intended for children under 13. If you believe a child has provided personal data, contact us so we can delete it.
